GENERAL DESCRIPTION OF JOB:
The Distribution and Print Services Operations Supervisor oversees daily print, mail, courier, and distribution operations while coordinating workflow, supporting employees, and maintaining service reliability for County departments. Working closely with the Print Services Coordinator, the role provides technical guidance, resolves operational issues, and escalates major strategic or personnel decisions to the Deputy Director.
DUTIES:
- Supervises assigned Distribution and Print Services employees, including work direction, scheduling, coverage planning, coaching, training, performance feedback and day-to-day accountability.
- Assesses employee skills, training needs, workload capacity and service gaps; develops and supports cross-training plans to strengthen continuity across print, mail, courier and distribution functions.
- Monitors employee performance, attendance, conduct, productivity and customer service; documents concerns and recommends appropriate next steps in coordination with the Deputy Director and Human Resources.
- Coordinates daily operations across print services, mail processing, courier routes, package handling, large mailings and related distribution functions.
- Works with the Print Services Coordinator to ensure complex print, mailing and recurring departmental projects are properly scheduled, staffed, produced, mailed and delivered.
- Serves as an operational point of contact for County departments and elected offices requesting print, mail, courier or distribution services.
- Reviews incoming or cross-functional requests, clarifies customer needs, coordinates timelines, resolves routine service issues and escalates competing priorities or unusual requests.
- Oversees daily mailroom and courier operations, including incoming mail, outgoing mail, interoffice mail, package processing, route schedules and backup coverage.
- Monitors postal permits, postage accounts, account balances, transfers, bulk-mail requirements and related records.
- Supports budget oversight by monitoring expenditures, supply usage, postage costs, equipment needs, service agreements and other operating costs; provides information and recommendations for budget planning.
- Coordinates vendor service and support for mailroom, postage, courier, shipping or division-wide systems and equipment; coordinates with the Print Services Coordinator on print-specific equipment needs.
- Maintains division procedures, recurring-project documentation, route information, account records, training materials and continuity plans.
- Tracks workload, service levels, turnaround times, rework, delivery issues, customer concerns and operational risks; recommends process improvements, cost savings and service improvements.
- Ensures safe, secure and confidential handling of County materials, including sensitive documents, accountable mail, financial information, legal materials and other protected records.
- Performs print, mail, courier or distribution work as needed for coverage, peak workload, urgent deadlines, vacancies or service interruptions.

Education and Experience:
- High school diploma or GED equivalent
- Five (5) years of progressively responsible experience in print services, mail services, courier/distribution operations, logistics, production operations, internal services or a closely related field.
- Two (2) years of lead, supervisory or comparable experience that includes work direction, employee training, performance feedback, scheduling or operational coordination.
- Experience monitoring budgets, accounts, expenditures, supplies, vendors, service agreements or operational records.
- Any equivalent combination of education and work experience that satisfy the requirements of the job will be considered.
Preferred Education and Experience:
- Associate’s or bachelor’s degree in business administration, operations management, public administration, communications, logistics, graphic communications, printing management or a related field.
- Experience supervising or leading employees in an internal service, production, print/mail, warehouse, logistics or similarly deadline-driven operational environment.
- Experience with postal permits, postage accounts, bulk mail, package processing or courier operations.
- Experience using print-management, mail, shipping, production workflow or related business systems.
- Experience supporting budget development, vendor coordination, equipment replacement or service contract administration.
Pre-Employment Additional Requirements:
- Must successfully pass pre-employment testing which includes an acceptable motor vehicle record (MVR) and background check.
- Possession of a valid Class “R” Colorado Driver’s License or the ability to obtain one within two weeks of appointment.
WORK ENVIRONMENT:
- Work is performed in a combination of standard office, print-production, mailroom and distribution environments.
- The position is periodically exposed to production equipment, moving machinery, paper-cutting and finishing equipment, warehouse/distribution areas and elevated noise levels.
- Work requires regular interaction with employees throughout operational work areas and occasional travel between County facilities.
- The position may occasionally be required to respond to operational problems, critical deadlines or service interruptions outside normal routine work activities.
PHYSICAL DEMANDS:
