GENERAL DESCRIPTION OF JOB:

The Asset and Finance Administrator manages the lifecycle, compliance, and procurement of all corporate hardware, software, and distributed computing assets. This role maintains the fixed asset database, reconciles inventory and software licenses, and oversees the procurement of software and hardware. Additionally, the position directly supports financial operations by coordinating purchase orders, processing invoices within the ERP system. This performs booking tasks to track IT spend against budget line items and the overall IT budget.

DUTIES:

  • Maintains, monitors, and tracks computing hardware and software asset inventories and locations, including management and tracking of software licenses and maintenance agreements.
  • Participates in the IT purchasing process by submitting and tracking purchase orders (POs) and vendor invoices within the County’s ERP system.
  • Responsible for logging and tracking IT expenditures to the ERP system and budget tracking system. Additionally, responsible for auditing the budget tracking system.
  • Audit and update IT Asset Management (ITAM) and financial databases regularly to ensure a single, accurate source of truth for all corporate technology assets.
  • Receive and process requests for software and hardware quotes. 
  • Vendor Management: Develop and foster vendor relationships.
  • Process all received hardware, ensuring we receive all pieces we ordered. Asset tag hardware and enter assets in the IT Asset Management (ITAM) system. Coordinates with Facilities & Fleet Management and vendors for the disposal and recycling of retired computing equipment.
  • Work with department liaisons to determine proper asset replacement within the determined standards.

REQUIREMENTS:

Skills, Abilities and Competencies:

  • General knowledge of IT Departments functions, technologies, and services, particularly those relating to network, desktop, server and enterprise software.
  • General knowledge of contract and licensing language. Including the ability to identify and extract agreement terms, renewal dates, license quantity and how the vendor calculates quantity (by CPU, by core, by connection, by server, named users...), and usage restrictions.
  • Strong organizational skills and attention to detail are necessary.
  • An understanding of general bookkeeping principles is required.
  • Excellent customer service, oral and written communication skills and the ability to interact effectively at all levels are required.

Education and Experience:  

  • Bachelor’s degree
  • Six (6) years of experience in asset management and accounting
  • Any equivalent combination of education and work experience that satisfy the requirements of the job will be considered. 

 

Pre-Employment Additional Requirements:

  • Must successfully pass pre-employment testing which includes an acceptable motor vehicle record (MVR) and background check.

WORK ENVIRONMENT:
