GENERAL DESCRIPTION OF JOB:
Under the direction of the Administrative Supervisor, performs a variety of front-line and detail-oriented administrative support functions and serves as the first point of contact for Arapahoe County’s Commissioners’ Office. This position provides exceptional customer service to the Board of County Commissioners, County staff, and to customers of Arapahoe County.
DUTIES:
- Greets and welcomes all walk-in customers for the Board of County Commissioners (BOCC) and Department as a whole with exceptional professionalism and courtesy. Ascertains needs and directs to appropriate personnel or destination.
- Answers incoming calls, takes messages, and routes calls. Proactively manages customer complaints and disputes in a timely and professional manner. Handles escalated complaints with sensitivity and empathy. Responds to constituent emails as directed.
- Learns process flows and implements efficiency improvements by understanding the County’s priorities.
- Prepares mileage reimbursement documents on a monthly basis, forwarding completed documents to direct supervisor to be processed for check reimbursement.
- Manages calendars and events needs for each of the commissioners and the BOCC as a whole, adjusting logistics, scheduling and reworking meetings, and maintaining clear communication with all parties. Reviews requests for commissioners to appear and/or speak at events, confirms attendance.
- Ensures commissioner’s calendars are updated with all pertinent event information.
- Provides routine logistics support for events and special meetings hosted by the BOCC and department staff as needed, to include reserving venue and catering/refreshments, updating calendars, managing RSVPs, room set up, submitting FIX tickets if appropriate, and preparing materials.
- Collaborate with cross-functional teams to ensure successful meeting and event planning, execution and post-event follow-up as directed.
- Coordinates commissioner’s talking points for events, ensures all information is received, copied and distributed to applicable individuals and updates calendar invite and event logs.
- Performs a variety of clerical duties related to the functions of the job and after-hours events as needed, such as filing, assembling packets and materials, completes data entry, processes mail, and distributes mass mailings and materials.
- Handle sensitive and confidential information with diplomacy and discretion, as well as a high degree of accuracy and attention to detail.
- Provides backup support to Receptionist, covering lunch breaks and extended absences as directed.
- Assist with special projects as needed.

- Communication Skills – Must communicate articulately and professionally and be able to convey messages to all levels of audiences in an understandable and meaningful manner. Oral and written presentations must be clear, correct and concise.
- Initiative: Ability to identify and act on customer needs independently, promote scheduled activities to customers and obtain extra work when time allows.
- Teamwork/Cooperation: Ability to work effectively with employees and citizens. Must be flexible in the face of changing workloads and tasks, while managing front desk duties efficiently.
- Knowledge/Technical Skills – Proficiency with keyboarding, operation of a multi-line phone system, spelling and grammar. Must have proficient computer literacy skills (Microsoft Word, Excel, PowerPoint and Outlook). Working knowledge of Adobe Acrobat software is preferred.
- Confidentiality/Discretion - Ability to maintain a professional work ethic and ensures sensitive information remains confidential. Ability to use discretion when making decisions and when engaging with the public and colleagues.
- To acquire comprehensive knowledge of the department’s operations and of Arapahoe County government, as well as programs and services offered by the State and local governments.

Education and Experience:
- High School diploma or GED equivalent
- 3+ years’ experience providing administrative support to a department and/or executive leadership.
- Any equivalent combination of education and work experience that satisfy the requirements of the job will be considered.
Pre-Employment Additional Requirements:
- Must successfully pass pre-employment testing which includes an acceptable motor vehicle record (MVR) and background check.
WORK ENVIRONMENT:
